What a school money receipt holds
A receipt is not only proof of payment — when a question comes up later, it is what settles the accounts. What a good receipt holds, with a sample.

This guide is written by BDEducationManager — management software for Bangladesh's schools, colleges, madrasas and coaching centres — admission, results, fees, attendance and SMS in one place. See the software
Each part of a receipt
- The institution's name, address and logo
- A receipt number — each its own, never used twice
- The date
- The student's name, ID, class, section and roll
- Which fee, for which month, how much — each on its own line
- Any discount or late fee on its own line too
- The total paid — and anything still due
- Who took the money
- An office copy and a student copy — both on one sheet
Why the number matters
- A lost receipt can be found again by its number
- At the day's end the numbers show if any receipt is missing
- The same payment is never written twice
Without a printer
Without a printer, write the number of your printed receipt book (cash memo) into the software — the accounts and numbers still match.
Receipts in the software
In BDEducationManager, a payment gets its receipt number by itself, discounts and late fees go on lines of their own, and anything short stays as dues. Even on a slow connection, a payment is never taken twice.
Questions
Can one receipt cover several months?
Yes. Each month is a line of its own, with the total below.
Does the receipt reach the guardian's phone?
If you like, an SMS can tell them of the payment — the amount and the receipt number.
